Recommendation Letters - Policy and Guidelines

Recommendation Letters - Policy & Guidelines:

As a faculty member, I regard the preparation of recommendation letters as a significant professional responsibility. To maintain the credibility, integrity, and effectiveness of each recommendation, students are kindly requested to carefully follow the guidelines outlined below.

1. Applications for Higher Studies or Scholarships

Students may request a recommendation letter for postgraduate studies or scholarship applications only if they meet the following criteria:

  1. A cumulative grade point average (CGPA) above 3.00.*
  2. A grade of A or A− in at least one course taught by me.*
  3. Have not been reported and/or penalized for academic misconduct, including cheating.

*Exceptions may be made only if the student has demonstrated exceptional academic ability, professional competence, and strong future potential through project work.


Important Instructions

When applying to a university, scholarship programme, or other academic institution, please ensure that my details are entered correctly in the application portal. The institution will normally send the recommendation request directly to me by email.

Automated recommendation emails may occasionally be delivered to the spam, junk, or clutter folder. Therefore, students should send timely follow-up reminders containing the following information:

  • Full name
  • Student ID number
  • Name of the university or institution
  • Name of the programme or scholarship
  • Application or reference number
  • Application deadline

Providing complete and accurate information will help me locate the institutional email and submit the recommendation before the deadline.

2. Applications for Industry Positions

Students may request recommendation letters for employment or internship applications provided that:

  • Their CGPA is above 2.00; and
  • They have not been formally reported and/or penalized for academic misconduct, including cheating.

3. Format of Recommendation Letters

Recommendation letters are normally provided as digitally signed PDF documents.

When an institution requires confidential submission, the recommendation will be submitted directly through the institution's official application portal or email system.

4. How to Contact Me

Students should contact me through:

  • University email
  • Personal email*; or
  • Microsoft Teams.

*If there is no response, the students can contact via the phone number mentioned below.

All messages must clearly include the student's:

  • Full name
  • Student ID number
  • Purpose of the recommendation request
  • Relevant deadline

5. When to Contact Me

Recommendation requests should preferably be made:

  • After the official submission of semester grades; and
  • At the time of applying to universities, scholarship programmes, internships, or employment opportunities.

Students are advised to provide sufficient notice before the submission deadline. Preferably at least ONE month.
